How to manage your IATI Registry accounts

You can have two types of accounts on the IATI Registry, a user account and a publisher account.

With your user account you can create, and be granted permission to edit, multiple publisher accounts. Equally, each publisher account can have many user accounts attached to it.

As your organisation changes and develops it’s important to keep details in your user and publisher accounts up to date. You should, for example, remove account access for staff members who leave, and update any contact details that change.

This page gives an overview of what your user and publisher accounts contain and how you can edit them – it doesn’t list every information item held in your accounts.

User accounts

You can sign up for a user account as an individual or using a generic team or organisation email address, for example [email protected].

Information held in a user account includes:

• username
• full name
• email address
• API tokens.

Each user account can create as many API tokens as needed. When a new token is generated this will not be visible after its creation for security reasons, thus if the token is lost a new one needs to be generated. A token can be generated in the 'My Account' tab when you’re logged in to the IATI Registry. If you use a third-party publishing tool, they may ask you to provide an API token. This confirms that you have given them permission to publish on behalf of the organisation.

To update the details in your user account, go to the 'My Account' tab and click the 'Manage' button.

If you’ve forgotten your password, use the Forgot your password? link on the login page. If you’ve forgotten your username, contact the IATI Secretariat to regain access to your account.

What can I do with the user account?

As a user you can:

• create new publisher accounts
• edit publisher accounts (where you have permission)
• publish data on behalf of an organisation (where you have permission).

Publisher accounts

Publisher accounts hold three broad types of information. These are:

Organisation information

• Generic organisation information, such as name, HQ country and website link
• IATI organisation information, for example IATI Org ID and Publisher ID
• Publishing information, for example how often you will update the data, the units of aid used, and any exclusions (what your data won't cover)

Datasets

• A list of all the IATI files your organisation has published, including:
  • type of file (activity/organisation)
  • file ID and title
  • details, for example language and the date of last update
  • IATI details, for example URL link and number of activities.

Members

• The list of user accounts that have permission to edit and publish on behalf of the organisation, including:
  • the name of each user account
  • the role of each user account (administrator, editor, member).

To access these pages, log in to the IATI Registry, go to your organisation's publisher account and click the 'Manage' button. Three tabs will show called Edit, Datasets and Members.

What can I do with a publisher account?

Publisher accounts store information about an organisation and the different IATI datasets published on its behalf.

As a member of a publisher account you can:

• view the private datasets of your organisation.

As an editor you can also:

• add and edit the organisation's datasets
• add and edit the organisation's details.

And as an administrator you can in addition:

• delete datasets
• add, remove and change your organisation's members.

If you want to make any changes, including making datasets private and adding new members, go to your publisher account and click the ‘Manage’ button. Then select the relevant Edit, Datasets or Members tab and you can delete or edit the required information.
